The Village School of Naples continues to grow and is now accepting applications for a Registrar. The Village School values inquiry-based, student-centered learning aimed to empower and inspire students to create solutions to challenges faced in an ever-changing world.
The Registrar’s primary responsibility is to establish and maintain accurate, up-to-date student records (Junior Kindergarten through 12th grade) using the school’s Student Information Database software. Other duties include responding to requests for student information and updating student transcripts. This position also provides database support and expertise for the admissions and development departments and handles the day to day scheduling, coordination, and administrative duties for the Head of Upper School/Assistant Head of School.
DUTIES AND RESPONSIBILTIES:
- Establish and maintain permanent student records including enrollment, academic, personal and withdrawal information
- Maintain accurate data and information regarding current and new students including grades, credits, test scores, and other student information
- Responsible for creating master course schedule, monitoring/updating master schedule information, and working with divisions in scheduling students
- Register new students; request records and transcripts for new students from previous schools; evaluate transcripts received from other schools to determine student placement; generate and distribute records, transcripts and other student information to faculty, staff and administrators
- Track student graduation requirements and work collaboratively with faculty, school administration and college counseling in the production and dissemination of report cards and transcripts for all students
- Coordinate with the Admission, Business Office, and Advancement Office the processing of the year-end rollover and new academic year progression of student database records to ensure that records reflect the proper graduation, grade level, matriculation status of all students, and the records/notices of withdrawal of students
- Compile information and prepare and maintain a variety of data, records, and reports related to students, testing, grades, eligibility, transcripts, school directory, and the master schedule
- Coordinate, prepare, and distribute electronic mailings to students, parents, and other community members as needed
- Request, analyze and record all records and transcripts for new students’ grades K-12
- Establish and maintain permanent student records
- Compile and maintain data related to student testing, grades, eligibility and transcripts
- Track student graduation requirements
- Serve as liaison with College Counseling; enter student demographic information in Naviance eDocs, records student transcripts with Florida Department of Education for Bright Futures Scholarships and NCAA Eligibility Center; generate and disburse transcripts
- Assist with creating master course schedule; schedule teachers and students working with Division Heads
- Manage annual order and distribution of textbooks
- Generate quarterly report cards and process year-end rollover to new academic year
- Collaborate with school nurse on Immunization Annual Report of Compliance
- Coordinate, prepare and distribute electronic and hard copy mailings to students, parents and community members
- Answer incoming phone calls for the Division Head while providing basic information when needed
- Handle parent visits
- Call students from classrooms to Division Head as necessary
- Call parents when needed
- Send communications to parents as needed
- Adhere to all school policies and procedures and professionally communicate them to parents as necessary
- Provide administrative support to Division Head. Manage their calendars, create correspondence and/or spreadsheets, manage phone messages, etc
- Assist Division Head with the preparation of special events, such as but not limited to, FCIS accreditation visits and/or assemblies
- Follow all emergency procedures and protocols for Division
- Maintain a high level of confidentiality in all matters
- Performs other duties as assigned
QUALIFICATIONS:
- Bachelor degree required in business or related field
- 3-5 years’ experience in database management, or equivalent
- Possesses strong computer skills in Student Information Software (FACTS SIS) preferred, databases, and Naviance, Google Docs, Sheets and Slides.
- Ability to prioritize a number of projects, assimilating information with accuracy and consistent attention to detail and meet schedules and deadlines
- Self-starter with excellent decision-making capabilities
- Possesses effective written and oral communication skills and organizational and interpersonal skills working with all constituents in a school environment
- Excellent customer service skills
